How quickly can I get my first invoice out the door?

If you've already got the job details, you can have your first invoice out within an hour of signing up. The longer setup — importing your full price book, customer list and templates — usually takes a day or two with help from our local team. From there, every new invoice pulls in timesheets and materials automatically, so it's a few clicks rather than half a day's admin. Book a demo if you'd like a walk-through first.

I've already got Xero — why do I need a separate invoicing tool?

Fair question. Xero's great at the books — paying suppliers, reconciling the bank, lodging BAS. It's not built to track jobs, crew hours, materials or variations against a project. NextMinute handles all the job-side admin — quotes, timesheets, progress claims, backcosting — then pushes clean financial data through to Xero when it's ready. You end up with sharper invoicing, accurate job costs, and Xero doing what it does best. See pricing.

Will I be able to tell which invoices are still unpaid?

Yes. NextMinute shows a clear view of every invoice tied to a job — what's been sent, what's been paid, and what's overdue. When a payment lands in your accounting software, the invoice updates automatically on the job too, so you're not flicking between Xero and NextMinute trying to work out where you stand. For chasing overdue invoices, the Xero sync means your bookkeeper can run reminders the way they always have — nothing changes there.

I'm invoicing from spreadsheets — how hard is it to switch over?

Most builders moving from Excel or Word templates are surprised how quickly they're up and running. During onboarding our local team will help import your price book, customer list and any open jobs so you're not starting from scratch. Invoicing in NextMinute feels familiar within a day or two — line items work the same way, just with the job and timesheet data filled in for you. How does NextMinute handle GST and BAS reporting?

NextMinute handles GST on every invoice — the line items, GST total and your ABN all appear automatically, so it meets ATO tax invoice requirements. Because invoices sync straight through to Xero, MYOB or QuickBooks, your BAS stays sorted in your accounting software where the bookkeeper already works. No reconciling two sets of numbers at the end of the quarter — what's in NextMinute matches what's in the books.

Can I turn an accepted quote straight into an invoice?

Yes — that's one of the biggest reasons builders switch. Once a client accepts your quote, you can convert it into an invoice (or several progress invoices) without retyping a single line item. You decide how much detail the client sees — full breakdown for cost-plus jobs, a single fixed-price line for lump-sum work, or somewhere in between. The cost data stays behind the scenes for your own backcosting, and the invoice flows straight through to Xero or MYOB.

How do I raise a deposit invoice before the job kicks off?

Easy as. Once the client accepts the quote, you can raise a deposit invoice for whatever percentage you've agreed — 10%, 20%, half upfront for materials — straight off the same line items. The deposit gets tracked against the job total, so progress claims later show the running balance. Long jobs kill cashflow when you wait until the end to invoice.
